Data, Purposes, and Basis

When you request information or a quote, we process your name, email, phone number, project information, and the documents you choose to send. The purpose is to respond and carry out pre-contractual due diligence at your request or to execute the contractual relationship. In general contacts, processing is based on the legitimate interest of responding to communications received.

To receive the catalog, only the email is mandatory; the name is optional. We use this data to fulfill the request and identify its origin. The catalog request, by itself, does not constitute a subscription to marketing communications. If you check the optional consent option, we will use the email to send news, solutions and communications from Lumiinox. You can withdraw this consent at any time via the link provided in the email or by writing to luis@lumiinox.pt.

Technical access logs and anti-abuse mechanisms ensure the security and availability of the site, based on the legitimate interest of protecting the service. The form limiter uses identifiers derived from the IP address and email, through a cryptographic function with a key, stored for 15 minutes. Forms use Cloudflare Turnstile to distinguish human visits from automated requests. When you interact with a form, Cloudflare receives technical signals, such as IP address and browser and device information, to perform this verification. The server confirms a one-time-use token before accepting the submission. The integration does not transmit message fields or attachments to Cloudflare. Please refer to the Turnstile privacy notice. Optional statistics depend on your consent, which you can change in your cookie preferences.

Forms and attachments

Messages are forwarded via email to Lumiinox. The quote request form allows you to attach drawings and technical documents; attachments are temporarily processed by the server and sent via email, without publication in the website's file library. We keep a copy of the request in a private WordPress area, including contact, message, date, request type, source page, and submission status. Attachments are not saved in this list. In catalog requests, we also record the marketing choice, the text and date of consent, and any eventual withdrawal. The Lumiinox sales and marketing team receives notices via email, including a blind carbon copy (BCC) to mkt.lumiinox@gmail.com. Received messages and attachments may remain in the mailbox and in their respective backup copies.

Send only data necessary for the analysis of the request. Do not include sensitive data or third-party information without a basis for sharing it. Required fields are identified; without this data it may not be possible to respond or send the catalog.

Recipients and external services

Data is accessible to Lumiinox and, to the extent necessary for its functions, to the hosting, email, maintenance and security providers of the site. It may also be communicated to the authorities when there is a legal obligation.

The site uses WordPress and Jetpack/Automattic resources, translation through GTranslate and Google services. The map embedded in the contact pages loads automatically; when displayed, the provider receives technical data from the connection, such as the IP address. The translation and links to reviews, maps and social networks involve external services with their own policies. Google Analytics is only loaded after acceptance of the statistics.

These providers may process data outside the European Economic Area. The safeguards provided for in the GDPR apply, including adequacy decisions or standard contractual clauses, where applicable to the provider and processing. You can request information about the providers and safeguards relevant to your case through the contact above. Consult the policies of Google, Automatic and GTranslate.

Data Retention and Security

We retain data for the time necessary to respond to, monitor, and process your request and, where applicable, for the legal periods or those necessary to defend our rights. Criteria include the nature of the request, the existence of a contractual relationship, and tax, accounting, and legal obligations. Catalog requests without a subsequent relationship do not justify indefinite retention for marketing purposes.

Access control measures, form validation, and backups are in place. Data transmitted to the website uses an HTTPS connection. No system guarantees absolute security.

Rights

Under applicable terms, you may request access, rectification, erasure, restriction of processing, objection, and data portability. When the basis is consent, you may withdraw it at any time without affecting the legality of previous processing. Write to luis@lumiinox.pt; it may be necessary to verify your identity in proportion to the request. You can file a complaint with the National Data Protection Commission.

Forms are not used for exclusively automated decisions with legal or similar effects on the user.
